IDstation.online is an online service to securely store digital passport photos. If you need a digital passport photo go to a local photo retailer to have your passport photo taken and ask for a digital photo with a code. On idstation.online your personal code will give you access to your photo and your personal code can be used in official online applications such as the online renewal of your passport or driving license
A digital passport photo is a passport photo saved as a file. You need a digital passport photo for certain online applications such as online passport renewal or online Visa applications. Your local photo retailer will be able to help you further
Go to a local retailer with a passport photo service and tell them you need a digital passport photo with a code. Check the Store Locator to find a local retailer nearby with such a digital passport service. The photo retailer will take your photo and upload the digital passport photo to IDstation.online. You will still get a printed copy of your passport photos. That printed copy contains a unique personal code. Here at idstation.online you can enter your personal code to access and download your digital passport photo. Your also need your personal code when you go online to apply for a new passport, driving license or Visa.
A personal code is a code that uniquely identifies your photo. Your personal code is assigned to your photo when it is saved on IDstation.online. Please follow the steps that are on the print out with your digital photo you received from your retailer. If you have any other questions, please check the Help page of the government website.
This error will appear if the code you entered could not be found in the database. This usually is due to a typo. When entering the personal code you need to make sure you do not make a mistake such as typing an I instead of a 1 or an O instead of a 0. Personal codes are case sensitive and have letters and numbers.
If your print-out only contains your personal code of 8 digits, your photo has likely been uploaded with a different template than United Kingdom online renewal. You can see the template that was used on your print-out, or by viewing your photo online. To see an example of a correct print-out for UK online renewal, click here.
If you did not receive a correct upload, please contact your retailer.
Your photo can be rejected on a number of its digital properties, such as quality or size. Once your photo has been uploaded, it cannot be changed or edited. This means that if your photo is consistently rejected by the online renewal website, a new photo will have to be taken. You will always receive feedback on why your photo was rejected. Please contact your retailer with the reason for rejection for further assistance.
Your personal code is the only way to access your photo. You receive your personal code on a printout your retailer provides and by email. If you lose both please contact your local retailer for a new photo.

When you don't receive an email, the email may be blocked by a SPAM filter. Please check your Spam or Junk email folder. The subject of the email is 'Your digital passport photo is stored'. Another possible reason is that your email address was not entered correctly. If you want to change that email address, click here for a short how-to.

Another way to get your photo is to simply download it. Enter your personal code on IDstation.online and click 'Download Photo'.
You can delete your digital photo by entering your code on https://idstation.online/ and delete your data by clicking the button Delete this data.
Your digital photo will be stored for 6 months. A photo taken more than six months ago is not recent and can no longer be used for official documents. Since there is then no longer any reason to keep the passport photo stored, we are obligated to remove it.

An official document requires a recent photo. A photo taken more than six months ago is not recent and can no longer be used for official documents.
After six months your digital photo is automatically deleted from the server since an official document requires a recent photo (no more than 6 months old). The email you received is a notice that your photo has expired and has been deleted. If you wish for a new digital photo, please visit your retailer.

IDstation.online is a service of DPS - Digital Photo Systems BV, The Netherlands. DPS acts as the data controller with respect to the processing of personal data described in this Privacy Policy.
The objective of IDstation.online is to securely store your digital passport photo for 6 months in order for you to be able to use your digital passport photo in online applications or when applying for an official ID document or to download your digital passport photo for personal use.
This Privacy Policy applies to all personal data processed via:

• associated services, including photo upload, storage, and retrieval

Primary data
• Digital passport photos and ID photos (facial image)
Identification and access data
• Unique personal code or identifier linked to the photo
• Your email address or phone number if you choose to add this information when uploading the photo. Adding your email address or phone number is not required.
Technical and usage data
• Device information that uploaded the photo
• Store details that uploaded the photo
• ICAO test report of the photo
• EXIF header information of the photo
Purposes of Processing
We process personal data solely for the following purposes:
• Providing secure storage of digital passport photos
• Enabling retrieval and reuse of photos for official applications
• Facilitating user-controlled sharing with third-party applications
• Complying with legal and regulatory obligations
Legal Basis for Processing
Consent is obtained during the upload process when the photographer will inform you about the upload procedure and how we process the photo and he will ask for your consent to actually upload your photo. The photographer cannot upload your photo unless he explicitly confirms this by clicking on two confirmation checkboxes. The Photographer may ask you to click on the two confirmation checkboxes yourself.
In case of self-service systems you will need to give you consent yourself by clicking on two confirmation checkboxes yourself.
Users may withdraw consent at any time by deleting their data. The website https://idstation.online allows users to access their photo and to download and or delete the photo. When deleting the photo the other uploaded data will also be deleted.
Special Categories of Data
A passport photo may qualify as biometric data under Article 9 GDPR if processed for identification purposes. DPS does not perform biometric identification or analysis on uploaded photos. Photos are stored solely as images for retrieval and user-controlled sharing.
Data Retention
• Personal data is stored for a maximum period of 6 months
• Data may be deleted earlier upon user request
• After the retention period, data is permanently deleted
Data Sharing and Recipients
We do not sell personal data. Personal data may be shared with User-authorized third parties for official applications (e.g. passport renewal systems) only after:
o user initiation
o entry of a personal code
o explicit approval
All personal data is stored on servers located within The Netherlands (NL).
Security Measures
We implement appropriate technical and organisational measures, including:
• Encryption of data at rest and in transit
• Access control and authentication mechanisms
• Logging and monitoring of access
• Secure key management
• Regular security updates and vulnerability management
Data Breach Notification
In the event of a personal data breach:
• We will assess the risk to individuals
• Where required, we will notify:
o the relevant supervisory authority
o affected individuals
This will be done in accordance with Articles 33 and 34 GDPR.

We may update this Privacy Policy from time to time.
The latest version will always be available on the website.
